General Shipping Policies

As soon as your order is placed, our team will be alerted and the process of fulfillment will be set in motion.  PLEASE NOTE - as of 2023, Rugby Depot will be shipping orders on Monday and Thursday of each week.  

Why do we use this system?  

As a growing company, we wanted to devise a system that would set clear expectations for our customers and allow for our team to adhere to a set schedule.  We typically ship orders twice per week on these days because it allows us to focus on shipping on those two days and to focus on improving the business and everything else that comes with it on every other day.  We understand that order processing and shipping times are important to everyone and that ordering from retail giants may save you a day of shipping time, but we are not using robots or third-party distribution centers.  You are more than just an order number to us and every purchase with Rugby Depot is hand packed with the highest levels of care and consideration by our own employees, right here in Boston, MA.

Let us know!  [Contact Us] and let us know if you have a big match coming up or need that gift in time for a birthday.  It’s impossible for us to blindly promise that we can accommodate every request, but we can promise to always listen to every inquiry, come to the table with a can-do attitude and do our very best to work with you.  This includes shipping to far away places, expedited shipping methods and rushing processing times.

How fast is shipping / what carriers do you use?

Our standard shipping is typically a flat rate cost shipped via a “standard” or “ground” method.  We will always look to ensure the highest level of satisfaction and will use a combination of UPS, Fedex and USPS to fulfill orders.  Have a preference or need a specific carrier?  Just let us know - we will communicate with you and do our best to accommodate your request.  From our experience, most orders arrive between 2-5 days in the United States, once shipped.

All orders are processed automatically shortly after they are placed - this includes the credit card billing / confirmation and creation of a material invoice for your order.  Items listed online will always be in stock and on-hand to ship unless otherwise noted and will ship on the next available shipping day (Monday or Thursday, holidays excluded).  Orders placed prior to 12pm EST on a shipping day will ship the same day and orders received after this time will process and ship for the next shipping day.

Delays / Shipping Issues

In the event that an item becomes unavailable, is out of stock, delayed or otherwise not following the normal shipping trajectory, we will contact you and work out a solution to your satisfaction.

Every order will be shipped with tracking provided.  In the event that you notice a problem with your order, please let us know right away so that we can help you.  Please understand that while we will always do our best to ensure everything goes smoothly, we cannot control everything, including post-delivery package theft, carrier errors, or being provided incorrect shipping information, but we will always do our best to work with you in the event one of these rare occurrences takes place.

Please note - we often do not have the ability to provide carriers with specific instructions.  EX - “leave package at the side door”.  If you have a special circumstance regarding delivery, please let us know before placing an order we’ll come up with a solution together to make sure you are well taken care of.

Are orders ever dropped shipped?

The vast majority of our orders are hand picked and packed by our team in Boston.  In some rare exceptions, orders may be shipped directly from one of our suppliers.  These scenarios typically involve ordering full sets of custom team goods or the order of large / oversized items.  If an order is being drop-shipped we will always do our best to communicate this in advance.

Rugby Depot and its employees always strive for the highest levels of communication and transparency, but reserve the right to change the aforementioned policies and procedures at will if deemed necessary.  Always contact us with any specific questions prior to placing an order and we can confirm any specifics in advance.

Returns

While we always aim for complete order satisfaction, we understand that from time to time returns are a part of any business.  Please read the following section carefully prior to placing an order to understand how our return process works.

General Rules / Policy

Any item in unused condition may be returned for a full refund for any reason within 14 calendar days of delivery confirmation.  Rugby Depot will provide a shipping label via email, allowing the return of the item(s) at no cost to you.  Once the return is received by Rugby Depot, the item(s) will be inspected and a refund will be issued within 7 calendar days via the payment method used to make the purchase.

Unused Condition - the basic premise for our return policy is that we aim to take a very “common sense” approach to our system.  Always ask yourself - could this item be sent back to Rugby Depot and sold to another customer in the exact same condition it arrived to me?  That will typically be our criteria for determining if a return is accepted; in order for an item to meet our definition of unused condition, the following criteria must be in place:

  • Sealed Factory Packaging must not be opened.  This includes items, such as mouth guards, etc that come in retail packaging.  IE - if something has to be ripped, torn, or cut open and the original package destroyed to be opened, that item is not returnable once opened.

  • Clothing & Apparel must be free of any rips, tears, stains, dirt or odors.  Original stickers and tags must be in place.  Please try on all items indoors with tags and stickers in place and remove them only when you are confident in keeping an item.

  • Footwear must be free of all rips, tears, stains, dirt or odors.  It is very important when purchasing cleats/boots that you do not wear them outdoors until you are confident in keeping them.  If footwear is worn or tried on with a dirt / grass surface, they will not be eligible for return; trust us - it is much harder than you think to remove those tiny pieces of dirt that even a single footprint collects.

Please note - we will always take the time to speak with you and discuss any of our policies.  If you have absolutely any questions, concerns or doubts, contact us prior to placing an order and we will gladly assist you.  Ultimately, all decisions on returns and interpretations of this policy lie solely with Rugby Depot.  Your satisfaction is always our number one concern, but in the event we feel the aforementioned policy is not adhered to, Rugby Depot reserves the right to deny a return request and refund.  In the event that a return is declined, you may have the item re-shipped back to you at the customer’s expense.
